Keep the course context clear

A course default.
A separate fee catalogue.

A course offering can also hold its own default fee. Keep that teaching context clear alongside the reusable charges your finance team selects when building invoices.

  • Record the default fee against the relevant campus offering.
  • Use the fee catalogue to organise named invoice charges.
  • Prepare and review the student’s actual charges through the invoicing workflow.

Review its use

Keep current fees active and choose them when preparing the appropriate invoice lines.

03

Retain the history

Retire a used fee by making it inactive, keeping its connection to earlier invoices.

Getting the fee catalogue right

What should a fee structure contain?

Understand reusable charges, campus ownership and how a fee definition becomes part of a student invoice.

What information belongs in a fee structure?

A fee structure has a name, an optional description, an amount and an Active or Inactive status. Use it to give the finance team a recognisable charge to select during invoice preparation.

Can campuses maintain different charges?

Yes. Fee structures belong to a branch. Authorised staff maintain the catalogue for their permitted campuses, so local charges can reflect the relevant school context.

Does creating a fee structure create student invoices?

Create and review the student invoice through the invoicing workflow. Selecting an active fee provides the description and price for an invoice line; the catalogue itself stores the reusable charge.

What happens to a fee that has already been used?

A fee referenced by invoice items is made inactive when removed, preserving its historical connection to those invoices. An unused fee can be deleted by authorised staff. The catalogue can also be exported to CSV.
