Following the money received

How do payments, credit and corrections affect the account?

See how recorded receipts settle invoices and how your team can keep later adjustments understandable.

Can an invoice be paid in more than one payment?

Yes, when partial payments are enabled in the school’s invoice settings. Recorded payments reduce the remaining amount, and the invoice shows its current settlement status.

What happens when a payment exceeds the invoice balance?

The receipt records the amount applied to the invoice and places the overpayment into available academy credit for that student. Authorised staff can apply that credit to another invoice for the same student.

Can we correct a receipt or record a refund?

Authorised staff can reverse an incorrect entry or record a refund after money has been returned. The original receipt remains in history, with the adjustment and its reason recorded separately.

Can we export a student’s statement?

Yes. The student statement has a CSV export of dated invoice-account entries and their running balance. Outstanding invoice amounts and available academy credit are shown separately in the account view.
